Keep each invoice identifiable
Use a clear invoice number and client record so you can recognize a payment later. Keep dates and totals consistent between the invoice you share and the record you retain. An organized invoice list makes follow-up easier when several clients have work in progress.
Update the payment record
Mark an invoice as paid after you have confirmed payment through your normal payment records. Review the app’s overview for invoices still marked unpaid. Status reflects the records you maintain; it is not automatic bank reconciliation or a guarantee that the money arrived.
Follow up with context
Before following up, check the invoice, agreed payment terms and your latest payment records. Keep the message specific to the invoice and client. The related payment-terms guide explains how to make the due date and payment instructions easier to understand.
